Privacy Policy

Engine 99 ("we", "us") operates engine99.club and the Engine 99 mobile event experience. This policy describes what we collect, why, and the choices you have. This version expands our Spotify, public-display, event-attendance, and performer-capture disclosures as Engine 99 moves from prototype to paid events.

This policy is not a substitute for event-specific notices, waivers, or photo/video releases. If you attend or participate in an Engine 99 event, those event documents may also apply.

What we collect

Account data. When you join the crew we collect your name, email address, display name, profile details, and authentication identifiers through Clerk.

Booking enquiries and event logistics. When you request the truck we collect your name, email, optional phone number, venue or event details, date, estimated attendance, and operational notes so we can respond with availability, safety requirements, and a quote.

Spotify and listening data. If you connect Spotify through Clerk, we may access your Spotify profile identifier, saved tracks, top tracks, recently played tracks, playlists or track metadata permitted by the scopes you approve, and OAuth tokens required to keep the connection active. We use this data to help you search, request, and build event-safe queues; we do not post to your account or modify your library. The one exception is the Engine 99 host account itself: with its owner's authorization, we create and update public event playlists on that account so guests can follow the setlist after an event. Guest and member accounts are never written to.

Event participation. Song requests, votes, karaoke sign-ups, display names, queue moderation outcomes, and attendance records may be linked to your account, email, or event badge for queue fairness, safety, and moderation.

Location and attendance. The truck may publish live location during public events. For private bookings, location displays are designed to be rounded or limited rather than exact. We may retain attendance and participation records for safety, billing, and legal reasons.

Waiver and release records. When you sign an event waiver or photo/video release we record your name, email, typed signature, document version, event scope, IP address, browser user agent, and timestamp as a legal record.

Karaoke and performance capture. If you sing, perform, speak on mic, appear on stage, or interact with the truck at an event, audio, photos, and video may capture your voice, likeness, display name, song choice, or performance. Our Photo & Video Release explains how captured media may be used.

How we use information

  • Operate events, queues, voting, karaoke lanes, host controls, and the truck display.
  • Respond to booking enquiries, quote events, coordinate logistics, and provide support.
  • Maintain safety records, waiver records, attendance records, and legal compliance files.
  • Sync permitted Spotify metadata on a periodic or user-triggered cadence so search and request features work.
  • Send crew signup, booking, event, and service emails. Marketing emails include an unsubscribe path where required.
  • Debug, secure, and improve the Engine 99 service.

We do not sell your personal information. We do not use Spotify data for advertising, and we do not use Spotify data to train machine-learning or AI models.

Public display at events

Engine 99 is a live, shared event experience. Song requests, votes, karaoke sign-ups, display names, performer names, and queue status may be visible to other guests, hosts, operators, venue staff, and on event screens. They may also appear in event photos or video.

Sharing

We share data only with service providers and event partners needed to run Engine 99: Clerk (authentication and OAuth connections), Neon (database), Vercel (hosting), Spotify (user-authorized music metadata), Inngest (background jobs), Resend (email), payment or booking tools we adopt, and event hosts or venues where needed for safety and logistics. Each provider processes data on our instructions or under its own terms when you connect it.

Retention and deletion

Account data persists while your account is active. Booking enquiries and event operations records are retained for business, safety, tax, and legal purposes. Waiver, release, and attendance records are retained as long as legally required or reasonably needed to document event participation.

Disconnecting Spotify deletes stored Spotify OAuth tokens and stops future Spotify sync. We also delete or de-identify Spotify-derived personal data that is no longer needed for the service, unless retention is required for security, legal, or dispute reasons.

Age and minors

Engine 99 accounts are intended for people 13 and older. In-person participation by guests under 18 requires consent and waiver/release acceptance by a parent or legal guardian where required by law or event policy.

Your choices and rights

You can disconnect Spotify from your account, unsubscribe from marketing emails, or request access, correction, deletion, or portability of your personal information by emailing hello@engine99.club. California residents may have additional rights to know, delete, correct, and opt out of certain sharing; we do not sell personal information.
